To-do Lists Do Not Work. Instead, Adopt These 3 Tools

…and skyrocket your productivity workflow.

Yes, as the picture shows — to-do lists are everlasting and keep piling up, and do not have any time factor attached.

I wrote on this topic sometime back after plenty of research and did come up with a modified workflow for getting this done.

Here is the story back then.

It's a common practice for many people to make a to-do list before starting their day.

A to-do list can be an excellent tool for prioritizing tasks, staying organized, and keeping track of progress.

However, to-do lists can become overwhelming and unproductive for some people, leading to procrastination, stress, and frustration.

The problem with to-do lists is that they can quickly become never-ending, with more items added than completed. It can be frustrating to glance at a to-do list at the end of the day only to find that several tasks remain undone. This can lead to a feeling of failure and a lack of motivation to continue working.

Instead of relying solely on to-do lists, consider using a productivity system focusing on prioritization and time management.

One such system is the 'Pomodoro' technique.

The Pomodoro technique is a time management method that breaks work down into 25-minute intervals, separated by short breaks. This system can help improve focus, reduce distractions, and increase productivity.

To get started with the Pomodoro technique, follow these steps:

  • First, choose a task to focus on for 25 minutes.
  • Then, set a timer for 25 minutes and work on the task without any distractions.
  • After 25 minutes, take a five-minute break.
  • Repeat the process, working on the task for another 25 minutes.
  • After four Pomodoro sessions, take a more extended break of 15–20 minutes.

If you are an Evernote user, here is a way to use Pomodoro.

By using the Pomodoro technique, you'll be able to break down your work into manageable chunks and maintain focus on one task at a time. This can help reduce distractions, increase productivity, and reduce stress.

In addition to the Pomodoro technique, there are other methods you can try to increase productivity. These include prioritizing tasks based on their importance and urgency, delegating tasks to others, and learning to say no to tasks that are not essential to your goals.

Another helpful method is the Eisenhower Matrix.

Eisenhower's matrix is one of the few decision-making frameworks that are so simple and effective.

A prolific and highly productive President, Dwight Eisenhower was the 34th President of the United States. His achievements during World War II included serving as the Supreme Commander of the Allied Forces in Europe, launching programs such as DARPA and NASA, and serving as President of Columbia University.

How did he accomplish all this?

A productivity system Eisenhower used is often called the Eisenhower matrix because it is simple but intelligent. This method lets you decide what's critical and urgent on your list.

Let's take a look at it.

How to use the Eisenhower matrix?

You should first make a list of everything you want to accomplish. Then, sort them according to the criteria I provided in the above picture.

1. Urgent and important: You will do the urgent and important tasks now.

2. Important but not urgent: The important but not urgent ones can be scheduled to be done later.

3. Urgent but not important: The urgent but not important activities should be delegated to someone else.

4. Neither urgent nor important: Finally, if a task is neither urgent nor important, it should be deleted from your list.

What I like about Eisenhower Matrix.

1. Eisenhower's matrix makes you think carefully about the relevance of tasks before you begin them.

2. When using productivity frameworks, you often ignore whether the task is relevant to your life. Thanks to the Eisenhower matrix, you can ask yourself if an activity will get you closer to your goals.

3. This matrix is a great way to beat procrastination and know what is important and time-sensitive. When we feel a sense of urgency, we can be more productive without feeling burned out by all the meaningless tasks we must do.

4. The Eisenhower matrix can be used daily, weekly, or month-to-month. Depending on the goal, it can work for macro and micro targets.

An essential part of the process is to have a bird's eye view of everything that needs to be done and to delete anything that is not aligned with your long-term goals.

Ultimately, the key to improving productivity is to find a system that works for you. Experiment with different methods until you find the one that helps you stay focused, motivated, and productive.

Remember that productivity is not about how much you accomplish in a day but how well you prioritize your tasks and manage your time.
