So, I’ve created this “No, Thanks” email template and always received positive responses:
1-Begin with gratitude:
“Thank you for considering me for your {Ask}. I truly appreciate it, and usually enjoy such opportunities.”
2- Explain the NO:
“Regrettably, with my ongoing Projects A-B-C, I’m at capacity and unable to take on anything new.”
3- Soften the decline:
“I hope you understand.”
4- Show it’s not personal:
“I receive numerous requests and must say no to focus on meaningful progress.”
5- Offer a future possibility (optional):
“Feel free to reach out in 90 days; circumstances might be different then.”
6- Express gratitude and best wishes:
“Thanks again for considering me. Best of luck with the {Ask}, {FirstName}.”
Stay empathetic but straightforward.
