Depending on what type of business you run, whether it is based on consistent monthly memberships or one-time products or services, it is important to have a protocol to handle refunds and cancellations.

We all want to avoid cancellations or refunds, yet what if we can learn to redirect and utilize it to help us collect valuable information that allows us to improve our products and strengthen our relationship with customers.

Many small business owners get disappointed when they have to give a refund or cancel an order, and in most cases, that customer is lost forever. Yet with the right tools and mindset, we can easily shift that customer from a disappointed one to a happy and honest returning customer.

An example of handling cancellation of membership

During my previous internship that was run on a monthly membership basis, there have been a few cancellations and incidents of non-renewals, especially customers that took a one-month membership to trial the company’s services.

In the instance of a cancellation, their name is updated in the member's spreadsheet as canceled and their access to the members-only slack account is deactivated. No refunds are given once the membership is canceled as it is paid per month. Customers were unlikely to return and were left unsatisfied with the service.
