Through trial and error, I’ve learned that if one method doesn’t work for you or your needs change, don’t be afraid to try another.
The beauty of time blocking lies in its versatility — you can create a structured or flexible system based on what suits you best.
If you’ve ever struggled to accomplish tasks despite diligently time blocking your schedule, you’ve come to the right place.

Strategy #1: Cultivate Clarity.
The first step in adequate time blocking is gaining clarity. You must be clear about your priorities, long-term goals, and why they are significant.
This step sets the foundation for your entire time-blocking system. Without starting here, your time-blocking efforts may go astray.
Moreover, clarity empowers you to stay committed, focused, and motivated. It ensures you adhere to your time-blocking schedule and work diligently toward your goals.
Begin by identifying your priorities, including your well-being, family or partner, and short-term and long-term goals for your personal and professional life.
Ask yourself why these aspects are essential and how they align with your values and principles. Remember, step one determines your starting point and influences every subsequent action.
Strategy #2: Know Your Income-Producing Activities (IPAs).
Before proceeding further, familiarize yourself with your Income Producing Activities (IPAs).
No, I’m not referring to the famous Indian Pale Ale here.
IPAs represent the specific activities that generate income in your business and vary depending on your industry.
Understanding your IPAs is crucial.
When considering your income-producing activities, ponder the following points.
First, identify the IPAs directly related to the significant goals you outlined in step one. Second, determine the IPAs that generate revenue immediately or are closest to generating income.
It’s important to note that many prioritize tasks that maintain their business but don’t contribute to its growth.
Knowing which IPAs bring you closest to cash is critical.
Differentiate between weekly income-producing activities and tasks that occur monthly, quarterly, or annually.
While planning your week, allocate time for the most critical income-producing activities. Remember, step one establishes the priority for scheduling.
Strategy #3: Break It Down.
You must break your goals into projects, tasks, and subtasks to make them actionable.
Many people need more specificity to achieve their goals.
They have a vague notion of what they want to accomplish but need a clear, step-by-step plan.
Here’s an example illustrating the importance of breaking it down: Suppose you’re a photographer to launch a photography course to help clients capture better vacation photos.
If you only have a broad concept of creating a system and allocate three hours to work on it during time blocking, chances are you will only accomplish a little.
Why?
Because you need a clear plan for how to use that time effectively.
To overcome this:
- Interview ten clients to determine their specific needs.
- Break this down into subtasks, such as selecting the clients to interview, preparing interview questions, and setting follow-up reminders.
- Outline the course, write individual sections, and film each segment.
Each of these becomes a separate task with its own set of subtasks.
When breaking down projects or goals, consider categorizing your tasks. Categories help you navigate complex projects by reducing overwhelm.
Examples of types could be researching, outlining, development, creation mode, marketing, and more. Organizing your tasks into categories creates clarity and prevents feeling overwhelmed, ultimately increasing your chances of success.
Although missing a few tasks during the breakdown process is normal, don’t worry.
You can add them later as you progress, keeping everything well-organized using the category framework. You can even reuse this template for future projects. Isn’t that helpful?
Strategy #4: Assign Estimated Times.
Assigning estimated times to each task is critical to effective time blocking. Especially in the beginning, track how much time you spend on each task.
Many people find this practice unconventional, but it’s surprising how often we underestimate the time required for certain activities.
We can complete an email in three minutes, but it takes ten or fifteen. Consequently, we wonder where the time went and why we couldn’t accomplish more.
Tracking your time is an incredible tool that provides valuable insights and enables you to create a realistic schedule.
It ensures you know exactly what you can accomplish within the allotted time, eliminating frustration caused by unrealistic expectations.
The key to successful time blocking is estimating how long each task will take.
Here’s a valuable tip:
Add a 50% buffer to your estimated time. Yes, you heard it right — 50%! We tend to underestimate the time required, so adding extra buffer time accounts for unexpected delays or complications.
If you finish a task early, great! You can enjoy some well-deserved free time. If not, that additional buffer ensures your entire day won’t be off schedule due to a single task running late.
Trust me, tracking your time will immensely improve your time-blocking skills, productivity, and overall satisfaction.
Does this sound like a valuable practice to you?
Strategy #5: Prepare for the Unexpected.
While it’s true that you can’t predict every unexpected event, you can still plan for the unexpected by building flexibility into your schedule.
You already do this in various aspects of your life.
Just like keeping a spare tire in your trunk or having life insurance for unforeseen circumstances, a little planning goes a long way in mitigating potential disruptions.
Life is full of surprises.
Your children might fall ill, or you may need to wait for others to complete tasks crucial to your progress.
Technical glitches, like a computer crash, or external factors, such as Mercury retrograde, can also derail your plans temporarily.
Planning for such contingencies is essential.
Closing Thoughts.
Remember that life is a chaotic and unpredictable adventure. Time blocking can be our trusty compass, guiding us through the stormy seas of productivity.
But even the best compass can’t prevent a seagull from stealing our sandwich or a sudden wave drenching us head to toe.
Happy time blocking, and may your days be filled with both efficiency & productivity.
